How to book a follow-up appointment, then switch it to telehealth (2 recorded calls)
A call4me user had their AI phone assistant book a doctor's follow-up, then call back and turn it into a Zoom visit. Here are both recordings, what the office asked, and the exact words that worked.
The short answer: to book a follow-up appointment, call the office and have three things ready: the patient's name, which office you want if the doctor works at more than one place, and a wide window ("any day this week or next"). To switch an in-person appointment to telehealth, call back with the appointment you have (day and time) and say you need it to be a video visit instead, same time if possible. Then ask how the video link will reach you.
On the calls below, a doctor's office in Manhattan booked an in-person follow-up for Tuesday, October 6 at 2 p.m. A few minutes later, a second call turned it into a Zoom visit at the same day and time. The office said yes as soon as it was asked, and said the link would go to the email on file before the appointment.
On neither call did the office ask for a date of birth, insurance or the reason for the visit. The office's only questions were the patient's name and whether the visit was in person.
These calls were made on September 30, 2026 by a call4me user's AI phone assistant. They're okay with us sharing them. The patient's name, the doctor's name, the practice name and the staff names are muted in the audio.

How to book a follow-up appointment, step by step #
- Listen to the whole menu once. At this office only option 1, "appointment scheduling or general assistance," reached a person. The other options only leave a message.
- Say what kind of visit it is first: "I'm calling to schedule a regular follow-up with [doctor] at the [location] office."
- Spell the patient's name if asked. It was the first question.
- Give a wide window. "Any day this week or next" let the office go straight to its open days.
- Name the office. The office offered the next date the doctor is at the Manhattan office, so naming the location is what set the date.
- Pick from the times they read out, and say the choice back: "Okay, let's go with 2 p.m."
- Wait for the confirmation with the date, time and place before you hang up.
What to say: a script that worked #

When they confirm the type: "Yeah, that's right. In person at the [location] office." When they read out times: "Okay, let's go with [time]."
Switching an in-person appointment to telehealth #
A few minutes after the booking, the user decided they wanted a video visit instead. So the AI called back. Here's the call (1 minute 48 seconds):

A telehealth or virtual appointment is the same visit over video instead of in the office. At this practice that meant Zoom, with the link sent by email. Three things made the switch quick:
- Name the appointment you already have. "Next Tuesday at 2" was enough for the office to find it. The patient's name came in the greeting.
- Ask for the same slot. "Keeping the same time would be great" kept the day and time. If you're flexible, give a backup window too.
- Ask how the link arrives. Email or text, and to which address or number. Make sure the email on file is one you check, because that's where this office sends it.
The office didn't say whether every appointment type can be done by video. If yours can't, ask for the next telehealth opening.
What to say to switch to a virtual visit #
Hi, I'm calling about [patient name]'s appointment on [day] at [time] with [doctor]. It's booked in person, but [I need / he needs / she needs] it to be a video visit instead. Could we switch that, keeping the same time?
