Wayfair customer service: the phone number, what happens when you call, and what returning a sofa costs

We called Wayfair twice in one evening to ask how returning a big item works and who pays to ship it back. Here's the phone path to a person, what the agents said, and both recordings.

Wayfair 844-403-5086, what returning a sofa actually costs

The short answer: Wayfair's customer service number is 844-403-5086 (from wayfair.com/help-and-contact). An AI virtual assistant answers and asks why you're calling. Say what you need in a sentence and it transfers you to a live agent. Both our calls reached a person in about a minute. On returns, the agents told us:

We called on Wednesday, September 30, 2026, at about 7:40 and 7:45 pm Eastern, with call4me asking the questions. Both times the virtual assistant sent us to Wayfair Sales, which makes sense because we didn't have an order yet.

A second call, just for the question the first one didn't answer. The agent's first name is silenced (twice), and the automated survey after the agent hung up is left off the end.

The phone path, step by step

  1. Call 844-403-5086. A recording says the call may be recorded, and offers Spanish.
  2. The virtual assistant asks why you're calling. Answer in one sentence ("the return process for a large item", "return shipping costs for a large item before I order").
  3. It may ask a follow-up to narrow it down (home improvement project, or something else).
  4. "Let me connect you with a live agent." "A member of our team will be with you shortly."
  5. A person picks up. For us, 10 and 14 seconds after the transfer, and about a minute after the call started.

There's no keypad menu to learn: speaking your question is the whole tree.

Returning a large item, step by step

  1. Check the item is returnable before you order. "Not all the items are eligible for a return", and the item page and Wayfair's return policy have the details for "small and large parcels".
  2. Keep the original packaging. "You always have to have the content that it comes in."
  3. Call customer service within 30 days of delivery to start the return. They send you a return label.
  4. Pick how it goes back. You'll get "two options, or possibly three": a Wayfair store if there's one nearby, FedEx drop off, or FedEx pickup. For big items they may send "one of our other trucking companies".
  5. Expect a deduction if you changed your mind. It's based on the item's price (about $30 to $45 for a $300 item, in the agent's example) and comes off your refund. If the item arrived damaged or has a problem, return shipping is free.
  6. Choose store credit or a refund. The agent said store credit takes 24 to 48 hours ("it may just arrive in a few hours"), and a refund to your card 3 to 5 business days after the return is processed.

1:48 Agent: In regards to a couch, normally you would have to have the contents that it came in. That's for sure. You always have to have the content that it comes in. Also, not all the items are eligible for a return. Most items are eligible for a return within 30 days of the delivery date for a refund or a store credit. But the return policy is on our website. Have you been on the website to see the policy itself? It has more details in regards to small and large parcels.

2:23 Caller: Yeah, we've seen it. But just to confirm, if you return something big, is there a return shipping cost? Or do you arrange pickup for an oversized item?

2:33 Agent: So, you would have to contact us, which is our customer service team, for a return. Once that is processed, you will receive a return label. Two options, or possibly three, will be provided to you. A store return, if a store is close by to the location. Or it may be FedEx return. Or a pickup, which is going to be FedEx as well, for the pickup to return the item. So, it may be one of three options that you can choose from. Sometimes it's just two. You can either drop it off at FedEx or have it picked up by FedEx.

3:19 Caller: Got it. And for the refund, is that issued back to the original payment method? And how long does that usually take?

3:27 Agent: Two options, store credit or original method of payment. So, you have a choice.

3:34 Caller: Okay, nice. And how long, roughly, does it take to show up once it's processed?

3:42 Agent: For the store credit, 24 to 48 hours, well, dependent. It may just arrive in a few hours or less. So, it all depends, but that's the time frame. For the payment method, it all depends, but normally it will take three to five business days.

2:05 Agent: It depends on the price. So I gave you an example, if the price is about $300 or less. So it depends on the price. If the item is about $180, the shipping fee would be about $20 to [unclear: we heard "fifteen" or "fifty"] to ship it back. So it depends on the price for the item.
