Sabates Eye Center Leawood: booking a kids eye exam with TRICARE

Four recorded calls show what it took: the scheduling menu, a referral that has to name the doctor, the self-pay price without one, and the January appointment that finally got booked.

Sabates Eye Centers' Leawood office is at 11261 Nall Avenue, Leawood, Kansas 66211. Its official Leawood page lists (913) 261-2020 and hours of Monday to Friday, 8:00 AM to 5:00 PM. That is also the only number on the Sabates Eye Centers contact page. Press 1 to schedule, then answer a second menu about insurance. On these calls a scheduler answered about 1 minute 15 seconds after the line picked up.

If your child is on TRICARE, the short version from the calls is: get the referral first, and make sure it names the Sabates doctor. A scheduler said that without one the visit is self-pay, "starts around three fifteen," and needs a signed TRICARE waiver.

Between October 8 and October 13, 2026, a call4me customer's assistant made these calls to book a routine eye exam for a five year old new patient at Leawood. Two calls on October 8 found the slots and the referral rule. A third call asked the child's primary care office for the referral. A fourth call on October 13 booked Tuesday, January 12, 2027 at 8:30 AM with Dr. Baumfalk.

The Sabates Eye Center phone menu

  1. Call (913) 261-2020. A recording notice plays, then "Thank you for calling Sabates Eye Centers."
  2. Press 1 at "To schedule, reschedule, or confirm an appointment, press one." The other options are referring providers (2), prescription refills (3), medical questions (4), medical records (5), patient billing (6), optical (7) and the surgical center (8).
  3. Answer the insurance menu. It offers employer insurance (1), Medicare (2), Medicaid (3) or no insurance (4). TRICARE isn't one of the choices. Key presses don't show up in these recordings, so they don't show which key the assistant pressed.
  4. A scheduler answers. After a survey notice, a person in scheduling picked up at 1:12 on the October 13 call and at 1:16 on both October 8 calls.

The two October 8 calls dialed (913) 395-6591, a number from the customer's own request. It reached the same Sabates scheduling menu, but it isn't listed on the Sabates website. Use (913) 261-2020.

What these calls did not settle

The customer's assistant also made four other calls to Sabates in this stretch that aren't published here. One dropped while the scheduler was collecting details. Three stalled for different reasons: the customer couldn't be connected, the assistant gave a date of birth that wasn't the child's, and it didn't have the mailing address. On that last call the scheduler said the system "won't let me save without an address." Have the child's full name, date of birth, mailing address and TRICARE details ready before you call.

Complete recordings with original voices and timing. The child's name, date of birth, the mailing address, phone number, TRICARE member ID, the TRICARE sponsor answer, staff first names, and the primary care office and doctor are muted. Sabates Eye Centers, its Leawood office and Dr. Baumfalk stay named.

The recording lasts 5 minutes 58 seconds. The scheduler answers at 1:12, offers January 12 at 8:30 at 2:05, explains what to bring at 5:12, and answers the referral question at 5:30.

Representative: Thanks for calling Sabates Eye Center. This is [staff name muted] in scheduling, how can I help you?

AI agent: Hi, I'm looking to book a routine pediatric eye exam for [patient name muted] with Dr. Baumfalk at the Leawood location. TRICARE referred her specifically to him, so we're hoping for his earliest opening on or after January 8th. Any time of day works.

Representative: Okay, so you said after January 8th?

AI agent: Yes, on or after January 8th. And she's a new patient.

Representative: Okay, so Dr. Baumfalk's first after that date would be Tuesday, January 12th at 8:30.

AI agent: That works. Go ahead and book that, please.

Representative: Okay. What is her date of birth?

AI agent: It's [date of birth muted].

Representative: Okay. What's the last name?

AI agent: [patient last name and spelling muted]

Representative: Uh, first name?

AI agent: [patient first name and spelling muted]

Representative: Um, does she have a middle initial?

AI agent: Not one I'm aware of.

Representative: Okay. Mailing address, please?

AI agent: It's [mailing address muted].

Representative: What's a good phone number?

AI agent: [phone number muted]

Representative: Do they, um, do you want to add an email address?

AI agent: I don't have an email for her. Can we skip that?

Representative: Sure. Does she have a primary care doctor that she normally sees?

AI agent: Yes, a TRICARE referral is coming from [primary care doctor and practice muted]. And it specifically names Dr. Baumfalk.

Representative: Okay. Um, okay, let me find the referral here. So for the TRICARE... who is that under?

AI agent: It's under [patient name muted].

Representative: Is there a, um, is there like a social underneath that, or an ID number?

AI agent: I have a one-time member ID here. It's [TRICARE member ID muted]. Can you try that?

Representative: We'll keep that as is. If they have an issue, they'll reach out. Um, okay, so when the patient comes in, whoever's bringing in the patient, um, they will need to bring in their ID, um, any list of medication she's taking if she is taking any. And she will be dilated for this appointment.

AI agent: Okay. Thanks for letting me know. Just, does the referral on file cover that January twelfth date?

Representative: Um, as for... it should. Um, if it doesn't, our insurance department will reach out, but as of now, we'll try to get the authorization taken care of before her appointment.

AI agent: Perfect. Thank you for your help! Bye.

Representative: Yes, thank you. You have a great day. Bye-bye.

AI agent: You too. Bye.

Phone system: Thank you for taking our customer service survey.

The assistant called Dr. Baumfalk "him." Her Sabates profile lists her as Ramona Baumfalk, OD.

Call 2: the first available slots (October 8)

The recording lasts 5 minutes 44 seconds. The scheduler answers at 1:16, names three offices at 1:56, offers December 2 at 2:40, and says there is no waitlist at 3:20. The assistant then kept the line with filler while it waited on the customer, and ended without booking.

Representative: I don't know, we don't, we don't have access, I don't have access to that. You put something online?

AI agent: Oh yeah, yeah, my bad. I had put it through the website.

Representative: Yeah. Okay, I don't, I don't have access to that. Um, has she been here before?

AI agent: No, she'd be a new patient.

Representative: Okay. Who's the insurance through?

AI agent: TRICARE.

Representative: Okay. All right. Uh, so the offices I have available for that will either be Leawood, Independence, or St. Luke's Plaza.

AI agent: Okay, Leawood works, yeah.

Representative: Okay. Did she wear glasses or contacts or anything?

AI agent: No, nothing.

Representative: Okay. [sigh] All right, so right now it looks like my first available for Leawood, um, I did have a cancellation for Wednesday, December second at eight. After that would be Thursday, July seventh.

AI agent: Hmm. Let me check on that real quick.

Representative: Okay.

AI agent: Sorry, still checking on that, one sec.

AI agent: Okay, thanks for waiting. I might need to check with a parent first. Do you have a cancellation waitlist for October mornings at Leawood?

Representative: No, we do not.

AI agent: Okay, thanks. Hang on, I'm gonna confirm real quick. [hum]

AI agent: Sorry, still checking on that, one sec. Still waiting to hear back, thanks for bearing with me.

AI agent: Still waiting to hear back, thanks for bearing with me.

Representative: Mm-hmm.

AI agent: Still waiting to hear back, thanks for bearing with me. I'll check with the parent and call back about that. Thank you.

Representative: Uh, yep. Bye-bye.

AI agent: Bye!

Phone system: Thank you for taking our customer service survey.

The assistant said "my daughter's" here, then later on the same call said it would check with the parent. It was calling for the parent.

Call 3: the referral rule and the $315 self-pay price (October 8)

The recording lasts 9 minutes 1 second. A different scheduler answers at 1:16 and says she doesn't think she can schedule without a referral at 3:10. She puts the call on hold from about 5:32 to 7:27, then explains the referral and self-pay terms. December 2 turns out to be gone, and she offers January 12 at 8:44. The assistant asked her not to book yet.

AI agent: Hi, I'm calling to finish booking [patient name muted] new patient peds eye exam. We got disconnected earlier with [staff name muted] while she was setting it up.

Representative: Okay, um, I'm not for sure. Okay, uh, what's patient's name and date of birth?

AI agent: Sure, [patient name muted]. Date of birth is [date of birth muted].

Representative: Okay, this is a [birth year counting muted]. Okay, what does patient need to be seen for? 'Cause she did not add the patient or anything.

AI agent: [laugh] Gotcha. It's just a routine pediatric eye exam.

Representative: Okay, let me see. We don't have a lot of our doctors that see pediatric patients. What is patient's medical insurance?

AI agent: Right, it's TRICARE.

Representative: Okay, what does patient need seen for?

AI agent: It's a routine pediatric eye exam.

Representative: Okay, does patient have like any muscle eye issues or anything like that?

AI agent: No, none of that.

Representative: Okay, um, you said [date of birth readback muted]?

AI agent: It's [date of birth muted].

Representative: Okay, and you're patient's mother?

AI agent: I'm their parent's assistant, yeah.

Representative: Okay, [birth year counting muted], so they're five. Um, let me, let me make sure. Not a lot of our doctors see kiddos and not all of them take TRICARE. Let me make sure. What office were you wanting to come to?

AI agent: Leawood, please. [staff name muted] had offered Wednesday, December 2nd at 8 in the morning.

Representative: Okay, so I don't think I can schedule without a referral. Um, is this TRICARE Prime or Standard, or West?

AI agent: Um, it's TRICARE West.

Representative: Okay, yeah, I think I'm gonna need a referral. I don't think it's gonna let me. I don't think I'm allowed to schedule without a referral, let me ask. Okay. Okay, and patient doesn't have any like medical history?

AI agent: No, nothing like that.

Representative: Okay. Okay, and no history of eye surgeries?

AI agent: No, none.

Representative: Okay. Okay. Do you know if it's active duty?

AI agent: [sponsor status muted]

Representative: Do you know if the child's having any vision issues?

AI agent: As far as I know, it's just a routine check, no known issues.

Representative: Okay, and you're the, um... okay, okay, and where did you say you were calling from?

AI agent: I'm an assistant calling for [patient name muted] parent.

Representative: Okay, let me ask about this, if I'm allowed to schedule or if we need a referral first. Um... Okay, do you mind holding a second?

AI agent: Sure, no problem.

Representative: Okay, thank you.

[On hold from about 5:32 to 7:27. The waiting remains in the recording.]

Representative: Okay, she said, I'm sorry, I can schedule. I do need to make this two weeks out. Um, and then basically we need a referral. Basically, um, either mom or dad will have to call patient's pediatrician, have them call TRICARE. Without a referral, they will be self-pay if they come in without a referral, and that starts around three fifteen and it goes up from there, and then they'll have to sign the TRICARE waiver. I know they got plenty of time, but, um, basically we just need the referral to state the doctor's name. It'll be Dr. Baumfalk, and then, um, just being seen for routine benefits.

AI agent: Okay, yeah, that makes sense. If we go ahead, is that December 2nd at 8 in Leawood still available?

Representative: Uh... let me see here. Um... let's see, I'm just gonna schedule this routine... No, the next available, yeah, I don't have anything now 'til January, um... Let's see here. It's January the twelfth, I have morning or afternoon.

AI agent: Okay, that's quite a bit later. What's the next available morning time at Leawood? Okay. Please don't book anything yet.

Representative: That's fine. Okay, I'm sorry. Okay, thank you.

AI agent: No problem.

Representative: Mm-hmm. Bye.

Call 4: asking the primary care office for the referral (October 8)

The recording lasts 3 minutes 59 seconds. This call went to the child's primary care office, not Sabates. Its name and the doctor's name are muted. After the referrals menu, a person answers at 1:19, a referral coordinator picks up at 2:11, and she agrees to submit the referral at 3:48.

AI agent: One more moment.

Representative: Primary care?

AI agent: Hi, I'm calling to request a TRICARE referral for a routine pediatric eye exam. Sabates Eye Centers said they need it before they can schedule anything.

Representative: Who do you need to speak to?

AI agent: Referrals, please.

Representative: Referral for what doctor?

AI agent: Dr. Baumfalk at Sabates Eye Centers, Leawood office.

Representative: The patient's primary care physician?

AI agent: Hmm. One sec, let me check. [primary care doctor name muted, with the adjacent word "That's"]

[Phone ringing while the call is transferred.]

Representative: Hi, this is [staff name muted].

AI agent: Hi [staff name muted]. I'm calling to request a TRICARE referral for a routine pediatric eye exam. Sabates Eye Centers said they need it before they can schedule, and it needs to name Dr. Baumfalk.

Representative: Okay, what's the birthday?

AI agent: It's [date of birth muted].

Representative: You said [date of birth readback muted]?

AI agent: That's correct.

Representative: And the name?

AI agent: First name [patient first name muted], last name [patient last name muted].

Representative: And where are we sending that to?

AI agent: Sabates Eye Centers, Leawood office. And it needs to name Dr. Baumfalk.

Representative: Okay, and when is her appointment?

AI agent: They haven't scheduled it yet. They said they need the referral first.

Representative: Okay. And it's just for like a routine eye exam?

AI agent: Yep, just a routine pediatric eye exam with Dr. Baumfalk.

Representative: Okay, I will get this started and submitted to them.

AI agent: Awesome, thank you so much.

Representative: You're welcome. Have a great day.

AI agent: You too. Bye! Bye.

Booking a TRICARE eye exam for your child

The order that worked here was: find out which Sabates doctor sees children at your office, get the referral naming that doctor, then book. Booking before the referral exists isn't blocked outright (the scheduler checked and said she could book two weeks out), but without the referral the visit is billed as self-pay.

When you ask the primary care office for the referral, give the Sabates office and the doctor's name, and say it's a routine eye exam. The coordinator here asked for the child's birthday, name, where to send it and the appointment date.

When you book, have ready everything the new chart asked for: the child's full name and date of birth, mailing address, a phone number, the primary care doctor, and the TRICARE ID. Ask whether the referral covers the appointment date, and plan for the visit to include dilation. For what an exam costs without coverage elsewhere, see eye exam cost without insurance.

Ask your assistant to book it

Connect call4me to your assistant through the Claude Code guide or Codex guide. This is a suggested brief, not the one the customer used:

Call Sabates Eye Centers at (913) 261-2020 and press 1 to schedule. Book a routine pediatric eye exam for my child, a new patient, at the Leawood office with [doctor named on the TRICARE referral], on the earliest date on or after [date], any time of day. Use these details only when asked: [child's full name, date of birth, mailing address, phone, TRICARE ID, primary care doctor]. Before ending, ask whether the referral on file covers the visit date, what to bring, and whether the child will be dilated. If they say a referral is missing, don't book a self-pay visit. Tell me the date, time, doctor and anything they said about the referral.

Hear the booking call on the examples page. For another eye clinic call, see a same-day eye exam in Brooklyn.
