Here is how to make a restaurant reservation by phone: give the restaurant the full date, preferred time, party size and reservation name. Ask staff to repeat the booking before hanging up, and ask about any deposit or cancellation terms that matter to your plans.

The confirmation is the useful part

A restaurant saying that a time is available is only the start of a booking. Here, staff collected the reservation details and repeated the final date, time and party size. That is the evidence for a completed reservation.

The name needed to be repeated because staff did not hear it clearly the first time. The assistant repeated it and waited for confirmation. When someone is writing a booking into their system, that small clarification is more useful than ending the call as soon as availability sounds promising.

The unanswered cancellation question is also useful. If your evening could change, include that question in the calling brief. A restaurant not asking for a card during one conversation does not answer every policy question.

How to brief your assistant for a restaurant reservation

  1. State the number of guests and the complete date.
  2. Give your preferred time and the earliest and latest acceptable alternatives.
  3. Provide the reservation name and a callback number privately.
  4. Say whether a deposit, card guarantee or cancellation fee is acceptable.
  5. Ask for the confirmed date, time, party size and any confirmation reference.

If your assistant is also helping plan the evening, have it return the restaurant's confirmed time before making the rest of the itinerary depend on it.
