A real call passed along a 10:10 AM arrival estimate for a 10 AM appointment. The desk said it should be okay and would notify the provider.

Appointment arrival update, 10:10 AM expected for a 10 AM booking

If you are running late to an appointment, tell the front desk the booked time, your expected arrival and the name on the booking. Ask whether you should still come in, then keep the desk's actual answer in your plans.

Ask for a response, not just delivery of the message

The caller did two things: passed along the delay and asked whether the visit could still go ahead. The second part matters because an office may have to check its schedule or offer a different plan.

The representative's answer was conditional. Keeping “should be okay” in the summary preserves what was said. Turning it into an unconditional promise would make the result sound more certain than the desk's response.

The reason the desk gave involved the customer's visit type, which is omitted from the public example. That answer applied to this appointment. It does not establish a general grace period for the clinic or for other offices.

What to say when you are running late to an appointment

Hi, I have an appointment at [booked time] under [name]. I expect to arrive at [arrival time]. Can you still see me, and could you let [provider] know?

Ask your own office for its answer rather than assuming a standard grace period. The conditional response in this recording applied to one appointment.

  1. Give the existing appointment time and name on the booking.
  2. State a realistic arrival time, including the reason for the delay if useful.
  3. Ask whether the office can still accommodate you.
  4. Ask staff to notify the relevant person if the plan is to continue.
  5. Have the assistant report any alternative instructions before accepting a change you did not authorize.

You can also specify a fallback: ask the office for options if the visit cannot go ahead, without agreeing to a new time. That lets the caller gather useful information while leaving the scheduling decision with you.
