The Base Glamping Yugawara: sending luggage ahead by takkyubin
A call4me customer's assistant called in Japanese to ask whether it could ship luggage to the property before check-in and back out at check-out. Both answers were yes. A second call checked the same thing with a hotel in Osaka.
The Base Glamping Yugawara accepts luggage sent ahead by takkyubin (宅急便), and staff can ship it out again at check-out. Write your check-in date and your name on the parcel, and say in the notes field of your booking that luggage is coming ahead. The property's official site lists 0465-20-8112 (from abroad, +81 465-20-8112), answered 9:00 to 18:00 Japan time, at 473-1 Miyakami, Yugawara, Kanagawa, in the Yugawara onsen town. That is the number the call dialed.
On Wednesday, October 14, 2026, at about 2:54 pm Japan time, a call4me customer's assistant called that number and spoke Japanese throughout. A staff member answered directly. There was no phone menu. The whole call took about two minutes.
What staff said:
- Sending luggage ahead before check-in: yes. "はい、大丈夫です" (Yes, that's fine).
- Label it with the check-in date and the guest's name. Staff asked for both "必ず" (without fail).
- Mention it when you book. The customer had not booked yet. Staff asked them to write something like "宅急便を事前にお送りします" (I'm sending luggage ahead by takkyubin) in the reservation's memo field.
- Shipping out at check-out: yes. "発送もできますので、対応いたします" (We can ship it too, so we'll handle it).
- Bring the outgoing luggage to the front desk. Staff confirmed that was the way to do it.
What the call to The Base Glamping Yugawara established
| Question | Answer on this call |
|---|---|
| Number dialed | 0465-20-8112, the number on the property's official site |
| Who answered | A staff member, no phone menu |
| Language | Japanese |
| Send luggage ahead by takkyubin? | Yes |
| How to label it | Check-in date and guest name |
| Advance notice | Write it in the booking's memo field |
| Ship luggage out at check-out? | Yes |
| How to ship out | Bring it to the front desk |
| Carrier, fees, size limits, cutoff | Not discussed |
| Booking made? | No, the customer had not booked yet |
What this call did not confirm
- No carrier was named. The question used 宅急便, which is Yamato's service name but also a common word for parcel delivery. Staff did not say whether Sagawa or Japan Post parcels are handled the same way.
- No fees, size or weight limits, number of bags, or how many days ahead a parcel may arrive were discussed. Nor was how the outgoing shipment is paid for.
- The advance notice answer was not a clean yes or no. The assistant asked whether advance notice was unnecessary, and staff answered "はい、お願いいたします", which can be read either way. The useful instruction came right after: use the memo field when you book.
- No reservation was made or changed. The assistant said it would contact the property again after booking.

A second call: luggage forwarding at Anran Hotels & Resorts in Osaka
The same customer's assistant asked the same questions a week earlier, on Wednesday, October 7, 2026, at about 3:25 pm Japan time, of 安嵐 ANRAN HOTELS & RESORTS at 1-5-4 Taishi, Nishinari-ku, Osaka. Its official contact page lists 06-6643-9903 (+81-6-6643-9903), front desk 08:00 to 23:00. That is the number the call dialed. A recorded notice said the call was recorded to prevent nuisance calls, then the line rang for about 11 seconds before a staff member answered.
| Question | Answer on this call |
|---|---|
| Receive luggage sent ahead? | Yes, timed to arrive on the check-in day |
| Fee when it arrives | Staff said shipping is paid when you send it, for example with Yamato (元払い, sender pays) |
| How to address it | Nothing special, just the guest's name |
| Send luggage out from the hotel? | Yes, the front desk can arrange it |
| Carrier for outgoing shipments | "普段は…ヤマトを呼びます" (we usually call Yamato) |
| Booking made? | No, this was information only |
What this call did not confirm: staff told the caller to send the parcel to match the check-in day, so it did not establish that the hotel will hold luggage that arrives days earlier. Staff did not say whether the hotel adds its own handling fee, and did not confirm Sagawa. The staff member also asked whether the caller was the person who booked. The assistant said it was checking on someone's behalf and that no booking existed yet, which was true.
The complete recording lasts 2 minutes 59 seconds. Nothing is muted or cut.

0:00 Phone system: This call is recorded to prevent nuisance calls. Thank you for your understanding.
0:08 [The line rings for about 11 seconds.]
0:18 Representative: Thank you for calling. This is Anran Hotel Resort.
0:21 AI agent: Hello, um, I'd like to ask about luggage delivery. Would it be possible for the hotel to receive and hold luggage addressed to a guest before check-in?
0:36 Representative: Ah, yes, um. Are you the person who made the hotel booking?
0:40 AI agent: Um, no, I'm not, I'm checking on someone's behalf, and the booking itself hasn't been made yet.
0:48 Representative: Ah, um. The booking, hmm, ah, you want to book now, and, um, there's no booking yet at this [unclear word] hotel.
0:55 AI agent: Yes, we haven't booked yet. We're still checking.
0:59 Representative: Ah. Ah. Well then, yes, um, when you send it, please send it to match the check-in day.
1:08 AI agent: Ah, so it's fine as long as it's sent to arrive on the check-in day.
1:13 Representative: Ah, yes. That's right.
1:15 AI agent: Understood.
1:17 Representative: Yes, that's right.
1:18 AI agent: Ah, then, is there a fee when you receive it?
1:24 Representative: Yes, ah, the fee is paid first, when you drop off the delivery. Yes.
1:33 AI agent: So at the hotel...
1:35 Representative: For example, with Yamato, yes.
1:39 AI agent: Yes, so it's sender-pays (motobarai).
1:41 Representative: Yes.
1:42 AI agent: Ah, understood.
1:43 Representative: Ah, yes, that's right.
1:44 AI agent: Um, when the hotel receives it, are there any requirements for how to write the address?
1:55 Representative: Nothing at all.
1:57 AI agent: Ah, I see. So it's fine to just write the guest's name as usual.
2:05 Representative: Yes, that's right.
2:07 AI agent: Yes, thank you. Um, one more thing. The other way around, if we want to ship luggage out from the hotel, can that be arranged at the front desk?
2:19 Representative: Mm. Ah, yes, the front desk can do it.
2:22 AI agent: Ah, great. Um, for example, carriers like Yamato or Sagawa...
2:33 Representative: Hmm, usually, we, um, call Yamato.
2:38 AI agent: Ah, so it can be arranged if it's Yamato.
2:40 Representative: Yes.
2:43 AI agent: Understood, that's very helpful. Thank you, goodbye.
2:50 Representative: Yes, yes, thank you. Goodbye.
How to ask a Japanese hotel about luggage forwarding
Two properties, two slightly different sets of rules. The Base Glamping Yugawara wanted the check-in date on the label and a note in the booking. Anran wanted only the guest's name, timed to arrive on the check-in day. If you are forwarding luggage between Yugawara hotels and the rest of your trip in Japan, ask each property rather than assuming the same rules apply.
Questions worth covering in one call:
- Can you receive luggage before check-in, and how many days early can it arrive?
- What should the label say: guest name, check-in date, booking number?
- Do you need notice, and where: the booking notes, an email, a phone call?
- Can you ship luggage out at check-out, with which carrier, and how is it paid?
- Any size, weight or count limits?
Both calls were in Japanese, with the assistant using polite phrasing throughout. For another example of a call in a language other than English, see the Mandarin scheduling call. For a hotel question asked in English, see the Paradox Hotel Vancouver call.
Ask your assistant to call a hotel in Japanese
Connect call4me to your assistant through the Claude Code guide or Codex guide. The brief below is a suggestion, not the one the customer used, and not a claim about which client placed these calls.
Use call4me to call The Base Glamping Yugawara at +81 465-20-8112 between 9:00 and 18:00 Japan time, and speak polite Japanese throughout. Ask whether I can send luggage ahead by takkyubin to arrive before my check-in on [date], how early it may arrive, and exactly what to write on the label. Ask whether they need notice and where to give it. Ask whether they can ship luggage out at check-out, which carrier they use, how it is paid and whether there are size or count limits. Do not make or change a booking. Give me the answers in English, with anything they did not confirm listed separately.
