Southwest Airlines phone number: what happens when you call
We called Southwest's general questions line, 1-800-I-FLY-SWA, for this guide. Saying \"representative\" put us on hold, and a live reservations agent answered 4 minutes 10 seconds in. She wouldn't take general questions. Here is the route, the full recording, and where Southwest answers them in writing.
The short answer: the Southwest Airlines phone number is 1-800-435-9792 (1-800-I-FLY-SWA). An automated voice menu answers and asks what you're calling about. We said "Representative" at the first prompt, heard "All our representatives are assisting other callers at this time," and a live reservations agent answered 4 minutes 10 seconds after Southwest picked up. But she wouldn't answer general questions: "I have to answer phone lines for customers needing assistance, so I can't answer general questions." So call this number when you have a booking or a trip to sort out. For general policy questions (refund timing, accessibility, Rapid Rewards), Southwest's written pages below are the faster source, and Rapid Rewards has its own line, 1-800-445-5764.
The number is listed as "General Questions: 1-800-I-FLY-SWA (1-800-435-9792)" on Southwest's More phone numbers and contact options help article, which we loaded on October 13, 2026. Southwest's Customer Service Plan (effective June 4, 2026) gives the same number for "speaking with a Customer Representative." The old southwest.com/contact-us address now redirects to the Southwest Help Center, which doesn't show the number on its front page.
Here's what happened on our call:
- Call 1-800-435-9792. A recording notice, then "Para continuar en español, oprima el número ocho" (press 8 for Spanish).
- "In a few words, tell me what you're calling about. You can say Rapid Rewards, a new reservation, an existing reservation, flight status, bags, check-in, or credit card." We said "Representative."
- A fare message, then "All our representatives are assisting other callers at this time. Please remain on the line for the next available representative."
- Hold music for about 3 minutes 20 seconds.
- A reservations agent answered at 4:10.
What the agent told us: that this is a reservations department and she couldn't take general questions. None of our four questions (live-agent hours, callbacks, refund timing, what to have ready) was answered on the phone. This was a general question for this guide, not about any reservation or account, and we gave no booking or personal details. This page is what we heard, plus what Southwest's own website says.
How long the Southwest wait was
One call, on Tuesday, October 13, 2026, at about 11:48 am Pacific (2:48 pm Eastern):
| Step | Time into the call |
|---|---|
| Southwest's greeting | 0:01 |
| We say "Representative" | 0:33 |
| "All our representatives are assisting other callers at this time" | 0:42 |
| Hold music starts | 0:49 |
| A live agent answers | 4:10 |
That's about 4 minutes from saying "representative" to a person. One afternoon call isn't a typical wait, and neither the help article nor the Help Center front page lists hours or expected waits for this line. No callback was offered while we held. For how this compares with other airlines and companies, see our hold times. On Delta's reservations line it took us about 16 minutes to reach a person.
Listen to the call
The whole call, 6 minutes 9 seconds, including the hold. Five short silences cover names, about 5 seconds in total: about a second over the agent's first name when she answers (it also covers "this is" before it and "speaking" after it), about 2 seconds where our caller said whose assistant it was, and three short silences over that same person's name, said twice by our caller and once by the agent. Nothing else is muted or cut.
Jump to a moment:
- 0:01 "Hi, thank you for calling Southwest Airlines"
- 0:14 "Para continuar en español, oprima el número ocho"
- 0:20 "In a few words, tell me what you're calling about"
- 0:33 We say "Representative"
- 0:37 "To receive the lowest fare, please specifically request it from a representative or shop online"
- 0:42 "All our representatives are assisting other callers at this time"
- 0:49 Hold music
- 4:10 A live reservations agent answers
- 4:31 "This is a reservation department, I can't do a survey"
- 4:54 "All right, ma'am, who is this?"
- 5:27 "I have to answer phone lines for customers needing assistance, so I can't answer general questions"
- 5:50 "Is there anything else I can assist you with today?"
The first live words, at 4:10:
Agent: Thank you for calling Southwest Airlines, [name removed]. Who [do] I have the pleasure of speaking with?
The Southwest phone menu, step by step
It's a speech menu. The only keypad option we heard was 8 for Spanish.
- Call 1-800-435-9792. "Hi, thank you for calling Southwest Airlines. Your call will be recorded and transcribed for training and quality purposes, and any data collected will be used in accordance with our privacy policy, which can be found on southwest.com."
- Spanish: "Para continuar en español, oprima el número ocho."
- "In a few words, tell me what you're calling about. You can say Rapid Rewards, a new reservation, an existing reservation, flight status, bags, check-in, or credit card." We said "Representative." It didn't ask a follow-up question.
- "To receive the lowest fare, please specifically request it from a representative or shop online."
- "All our representatives are assisting other callers at this time. Please remain on the line for the next available representative." Then hold music until a person answered.
Saying "representative" sent us straight to the queue. We don't know whether the menu routes "representative" to reservations by default, or whether saying "existing reservation" or "Rapid Rewards" reaches a different team.
What the agent said, and what wasn't answered
The agent's words are hers, as recorded. She didn't give any policy information.
- "Okay, this is a reservation department, I can't do a survey." Our caller had opened by saying it was putting together a consumer guide. One transcription hears "reservations department."
- After our caller asked about the line's hours, she asked who was calling, and who the person it was calling for was.
- "All right, ma'am, I have to answer phone lines for customers needing assistance, so I can't answer general questions. That's not referring to a call. I mean, a reservation."
- When our caller tried once more, she asked if there was anything else she could help with, and the call ended politely.
Not answered on the phone:
- What hours the line has live agents, and in what time zone. Neither Southwest page we loaded lists hours for this number.
- Whether there's a callback option. None was offered during our hold, and the pages we loaded don't mention one.
- How long a refund takes. Southwest answers this in writing (below).
- What to have ready. Not asked before the call ended.
Southwest refund timing, from southwest.com
From Southwest's Method-of-payment Refund help article, checked October 13, 2026. Times count from the date Southwest determines a refund is due:
| Paid with | What Southwest says |
|---|---|
| Credit card | "reasonable efforts to process eligible refunds to the same account no later than seven business days." Your card company "may then take up to 10 business days to post the credit," and you'll see it "within one to two billing statements." |
| Apple Pay or PayPal | "no later than seven business days" |
| Klarna | "no later than seven business days," then Klarna applies it under its own terms |
| Cash | refunded by check, "no later than 20 calendar days" |
Southwest's Customer Service Plan says the same for cards and cash. Its Refund Policy page says "Choice Extra and Choice Preferred tickets are refundable," while "Choice tickets are non-refundable" and "Basic tickets are non-refundable," and that after a significant disruption you are "eligible for a method-of-payment refund," even for non-refundable tickets.

Other ways to reach Southwest
- The Help Center's Contact Us form: the Southwest Help Center links to Contact Us to "Submit an account change, refund, or receipt request. Recognize an Employee or share a complaint."
- Help Center chat: there's a chat icon on the Help Center pages. They don't say when it's staffed, and we didn't try it.
- Flight status without a person: the automated flight information line, 1-888-792-8747.
Things we didn't test
- Calling with a real reservation. That's what the agent said the line is for.
- The other menu words: "existing reservation," "Rapid Rewards," "bags" and so on, or pressing 8.
- Help Center chat and the Contact Us form.
- Calling at other times of day, or on a weekend.
How we made this recording
call4me is a phone for your AI agent: your agent (Claude Code, Codex, ChatGPT, or your own) tells it what to get done and it makes the call. This one was placed by a LangChain agent through call4me's MCP server, which we wrote up in how to give a LangChain agent phone calls. The brief was four general questions for this guide: the line's live-agent hours, callbacks, refund timing, and what to have ready. It wasn't allowed to claim to be a customer, give any booking or personal details, or agree to any change.
What our caller could have done better: it opened with "consumer guide" and a name the agent didn't know, which sounded like a survey. Leading with one short, concrete question might have gotten an answer. Then again, she was clear that the line is for customers with reservations, and that's useful to know before you call.
For more recorded calls, see the companies we've called. We've also called United to ask about changing a flight, where the agent did answer general questions.
Have your agent make this call
If you use call4me, paste this into your agent:
Call Southwest Airlines at 1-800-435-9792 about my reservation, confirmation number [confirmation number], name on the booking [name]. When the menu asks what I'm calling about, say [existing reservation / new reservation / representative]. Stay on hold. When a person answers, ask [your question]. Don't change, cancel or buy anything unless I've said to, and ring me to join if they need anything else.

4:10 Agent: Thank you for calling Southwest Airlines, [name removed]. Who [do] I have the pleasure of speaking with?
4:16 Caller: Hi, [muted: whose assistant our caller was]. We're putting together a consumer guide on reaching airline customer service, and I just had a couple of quick general questions about this line.
4:31 Agent: Okay, this is a reservation department, I can't do a survey.
4:40 Caller: Oh, that's okay. It's not really so much a survey as just kind of like what the typical hours are when this line is answered by a live person and what time zone those are in.
4:54 Agent: All right, ma'am, who is this?
4:57 Caller: Sure, I'm calling on behalf of [name removed] for a consumer information guide.
5:09 Agent: Okay. And who is [name removed]?
5:16 Caller: [Name removed] is the author putting together the general guide, but I'm calling on his behalf just to ask a couple general questions.
5:27 Agent: All right, ma'am, I have to answer phone lines for customers needing assistance, so I can't answer general questions. That's not referring to a call. I mean, a reservation.
5:45 Caller: Yeah, I see. Just generally, do you know what hours...
5:50 Agent: Okay, is there anything else I can assist you with today? If it's not about a call, I... okay.
5:58 Caller: Yeah, that's okay. Thank you for your time.
6:01 Agent: You're welcome. Thank you for calling Southwest. Take care.
6:04 Caller: Yeah, take care. Bye.
6:07 Agent: Bye-bye.
